Tasks
Tasks are your running to-do list across everything you're working on — personal reminders and the work a REALM needs to move forward. They show up in one place so nothing slips, and EVE quietly flags what's urgent.
Two kinds of tasks
- Personal tasks — your own to-dos. Quick reminders, calls to make, things that aren't tied to a specific REALM.
- REALM tasks — work attached to a REALM. These often come from a Transaction Template or a checklist, and completing them moves the REALM toward its next milestone.
Both live in the same list. Each REALM task shows which REALM it belongs to so you always know the context.
Priorities and filters
Every task carries a priority — High, Medium, or Low. Realm sets this for you based on the due date (overdue and due-today work is raised automatically), and you can set it yourself when you create a task.
Use the filter tabs at the top of the list to focus:
- All — everything on your plate
- Mine — only tasks assigned to you
- Critical — high-priority and time-sensitive work
- Overdue — past due and needs attention
- Completed — your recently finished work
To the right of the tabs, Group changes how the list is sectioned: by Due date (needs attention now, today, upcoming), by REALM, or by Client. The REALMS picker beside it narrows the list to one transaction.
Selecting a whole section
Every section header carries its own checkbox beside the collapse arrow. Tick it to select that section's tasks — a transaction's thirteen, or everything with no transaction — and the bar at the top counts them and offers Complete and the other bulk actions. The checkbox at the very top still selects everything in the current view, and a partially selected section shows a dash instead of a check.
Team & Org views (for brokers and team leads)
If you lead a team or run a brokerage, a scope control at the top of the page lets you see beyond your own list:
- My Tasks — just your own work (what every agent sees).
- Team — every task owned by or assigned to your team members. Each row shows whose task it is. Team leads and brokers get this view.
- Org — every task across the whole brokerage. Brokers and admins only.
From Team or Org view you can complete a teammate's task yourself — handy for a transaction coordinator or broker clearing blockers. Brokers also have a Compliance Tasks toggle that surfaces every compliance-tagged task across the org in one place.
Agents see only their own tasks. The Team and Org scopes appear only for leadership roles, and Org is limited to brokers and admins.
Your client's steps
A buyer or seller has their own checklist on each REALM ("Share your must-haves and budget", "Wire your earnest money"). Those steps are the client's to do, not yours, so:
- They are never counted as your overdue or due-today work: not in the Overdue tab and its count here, not in the "overdue tasks need execution" banner or the Critical Tasks tile on Insights, and not in the daily briefing's "Tasks that need you".
- They still appear in All, with their due date, so you can see them and tick one off for your client if you need to.
- On Insights, the Today list puts the ones that are overdue or due today in their own folded group, Waiting on your client (N), below your own work. Click the header to see them. The daily briefing's "Waiting on your client" section lists the overdue ones the same way.
The Today list on Insights
Each task row on Insights → Today shows the task's own title, and a second line saying whom it is for: the REALM's address (or "No property yet"), the client, then how overdue it is or "due today". Your own personal tasks show the contact instead, or "Your task".
Hover over a row, or tab to it, to see everything about it: the full title, the REALM and its stage, the client, who it is assigned to (you, a named coordinator, or "Your client's step"), the due date, and what the row's buttons do:
- Click the row to open the REALM at its Tasks (a client's step opens the REALM, where their checklist sits in the right rail).
- Check marks the task done everywhere, the same as on this page.
- X only hides the row from the Today list in this browser. The task stays open everywhere else.
With EVE Hover on, EVE's card on the row shows the same facts.
Task lists
When you apply a Transaction Template or add a task list to a REALM, it brings a bundle of tasks with it: the standard steps that transaction needs, already sequenced and dated. You don't build them one at a time; the task list seeds the whole set, and they show up beside every other REALM task.
How to complete a task
- Open Tasks from the left navigation.
- Find the task — use the filter tabs or scroll the grouped list.
- Click the checkbox to mark it done. Completed tasks move to the Completed view and the timestamp is recorded.
- To reopen one, switch to Completed and uncheck it.
How to add a task
- On the Tasks page, click New Task.
- Give it a title and (optionally) a description.
- Set a due date and time, and pick a reminder if you want one.
- To make it a REALM task, choose the REALM it belongs to. Leave that blank for a personal task.
- Save. It appears immediately in your list.
EVE watches your tasks ambiently. When a deadline is approaching or a REALM is stalling, it surfaces a prepared nudge or a suggested next step right where you're working — no separate "AI mode" to open. See Working with EVE.
