One email, one personal copy for each person
A group email in Raven is not one message with everyone copied. It goes to a segment, and each person on it gets their own copy, addressed to them, with merge fields filled from their own record, so nobody sees anyone else's address.
Each copy is filed in that person's Connect thread, the same thread your texts, calls, and one-to-one email live in. When someone replies, the answer comes back to that thread on the contact's record, where you will see it.
- One personal copy per person, never a list of addresses in the To line
- Every copy filed in the person's own Connect thread
- Replies come back to that thread, on the contact's record
- Sent from your Raven email address, with your signature
Segments: lists that keep themselves current
A segment is a saved set of rules: stage, source, tags, city or ZIP, budget, lead score, when you last talked, and birthdays or anniversaries coming up. People join when they start matching and drop off when they stop, so "past clients I have not talked to in 90 days" is always right without anyone maintaining it.
When rules are not the point, pick the people by hand, or keep a rule-built segment and always include or leave out a specific person. Keep a segment to yourself, share it with a team you lead, or, with broker authority, share it with the whole brokerage. A shared segment never shows anyone a contact they could not already see.
- Rules on stage, source, tags, area, budget, lead score, and last contact
- Birthday and anniversary windows, counted on your brokerage's calendar
- Built by rules, by picking people, or both, with always include and leave out
- Starter segments, including past clients to catch up with
- Private, shared with a team, or shared with the brokerage
Nobody maintains the list. Each teammate sees only the people they could already see in People.
EVE drafts it, you check it, then it goes
Write the email yourself, or ask EVE to draft it or improve what you wrote. EVE works from the segment's rules and your own profile, and nothing lands in the editor until you choose to use the draft. Write in rich text, plain text, or HTML, add merge fields like a first name or a greeting that names the couple, and attach files.
Before anything sends, the preview shows how many people will get it, who is left out and why, and which merge fields would come out blank. Send a test to yourself, then send now or schedule it for a time in your own time zone.
- EVE drafts or improves the email, and you choose whether to use it
- Rich text, plain text, or HTML, with merge fields from each person's record
- Up to five attachments on one email
- A preview that names who is left out and why
- A test send to yourself first
- Send now, or schedule it up to 60 days ahead
EVE drafts or improves it, you edit and approve. The preview shows who is left out and why before anything goes.
Opt-outs honored, outcomes on the record
Every copy carries an unsubscribe link and the one-click unsubscribe header mail providers look for. When someone unsubscribes, Raven records it on their contact and later group emails skip them. Contacts marked do not contact are left out too, and Raven checks each person again just before their copy goes.
After it sends, the email shows what happened for every person: sent, skipped with the reason, or bounced. Raven does not track opens or clicks. The signal it watches is the one that matters, a reply, and that lands in the person's thread, where EVE notices a selling or buying signal and puts it on your briefing.
- An unsubscribe link and one-click unsubscribe on every copy
- Opt-outs and do not contact checked again before every copy
- Per-person outcomes: sent, skipped with a reason, or bounced
- No open or click tracking; a reply is the signal
Each copy is its own conversation, so a reply starts a real one.Raven records what was sent, skipped or bounced for every person.
Prospect your sphere, not strangers
Group email is one part of staying in touch. For leads, drips keep a steady cadence: a drip is a series of steps, each with a goal and a timing, and EVE writes each message for the person it goes to when the step comes due, then pauses the drip the moment they reply. Past clients can get the Monthly Home Intelligence Report on their own home, sent automatically every month or every two weeks.
EVE also watches for relationships going quiet, where you used to talk every few weeks and it has been much longer. She flags them in your briefing and, depending on how much you let her do, drafts a check-in for your approval or sends it on Autopilot. When it is time to pick up the phone, a Call Session builds a call list from people waiting on your reply or relationships going quiet, briefs you on each person, logs the outcome, and drafts the follow-up for you to approve.
- Drips EVE writes for each person, step by step
- The Monthly Home Intelligence Report to the past clients you choose
- Relationships going quiet, flagged in your briefing
- Call Sessions: a briefed call list, outcomes logged, follow-ups drafted for approval
- Contacts marked do not call are left out of every call list
Everyone here already knows you. EVE points out who is ready to talk; the calls, and the appointments they lead to, are yours.
Frequently asked questions
Is this a cold email tool?
No. Group email is built for people you already have a relationship with: clients, past clients, your sphere, and leads in your CRM. It sends from Raven's shared sending domain, so it carries limits: up to 500 people on one email and 1,000 people per agent per day. Raven does not sell or supply contact lists.
Does Raven track opens and clicks?
No. For each person, Raven records whether their copy was sent, skipped and why, or bounced. Replies come back to that person's Connect thread, which is the signal worth acting on.
What happens when someone unsubscribes?
Every copy carries an unsubscribe link. When someone uses it, Raven records the opt-out on their contact and later group emails skip them. Contacts marked do not contact are left out of group email as well.
Can I text a segment?
No. Raven does not send group texts. A segment sends group email, one personal copy per person.
Can my team use my segments?
Yes, if you share them. A segment can stay private, be shared with a team you lead, or be shared with the whole brokerage by someone with broker authority. Everyone sees only the people they could already see in People, so a shared segment never widens anyone's view of the book.
How is a group email different from a drip?
A group email is one message you write and send to a segment, now or at a time you pick. A drip is a series of steps for a lead, and EVE writes each message for that person when the step comes due. Both land in the person's Connect thread.
Does it cost extra?
No. Segments and group email are part of Raven Agent at $249 per seat per month, alongside the CRM, transactions, signing, compliance, and EVE. There is no per-contact or per-email charge.
